Finding unique records in Excel

Did you ever need to identify the unique records found in a column in Excel? From my experience, this is one of the most common task I encounter doing data analysis (especially when creating report summaries). To do this, I just follow the steps listed below.



1. Go to the column containing the data to be analyzed. Note: the first top cell in the column will be treated as a header/label.

2. From the menu, choose Data, then Filter, then Advanced Filter.... You should see something similar to the screen below:



3. Once you clicked the Advanced Filter option, a pop up window will show you the Advance Filter options. Tick the Unique records. To determine where the results will be saved, choose between Filter the list, in-place (to keep the results in the same column) or Copy to another location. I usually want my results in another column. If you are like me, you need to specify the target location. See example below which saves the results in column D.



4. Once you have selected your options, click ok. You should see the unique records after.

Weekly Timesheet Form : Dynamic document done without VBA

Although I am a developer, I am not fond of using VBA code in my spreadsheets. Usually, I would look for ways to leverage the available facilities in Excel before resorting to programming. I do this knowing that a non-VBA hack usually exists to address most requirements. Besides, from my experience, these solutions are usually quicker than most VBA solutions.

To demonstrate this, I have attached a sample Weekly Timesheet workbook that is done without any VBA. I have listed below some other key features worth noting.

• Dynamic range as used in List validation
• A second dynamic range also used in validation that is dependent on the chosen value in the first range
• Automatic formatting of cells to indicate holidays
• Filling up of relevant details associated with the employee
